Group Galavants General FAQs

We keep our groups intentionally small, generally between 14 to 18 women, to foster meaningful connection and a more personalized experience. We cap our land-based Galavants at 20 travelers, but on river or expedition cruises (where we have more space and flexibility), we’re able to welcome a few more Gals Aboard.

Each Galavant includes boutique accommodations, most meals, curated experiences, ground transportation, and of course, some unforgettable surprises. A detailed itinerary will outline exactly what’s covered for each trip.

We typically host 5–6 group Galavants each year. Trip info and sign-up details are shared first with our exclusive Galavant Society newsletter, so if you want first dibs, make sure you’re on it.

We usually release trip details 6 months to a year in advance. Newsletter subscribers get early access, including an exclusive registration link, a full week before the trip opens to the public. It’s our way of thanking you for being part of the inner circle.

Our travelers span their late 20s to 60s and beyond. We don’t define you by your decade, we care more about your energy than your age. If you’re 21+ and crave curiosity, connection, and culture, you’ll feel right at home.

At The Galavant Society, our trips are created for women and we mean that in the most inclusive sense. Our community welcomes cis and trans women, as well as non-binary folks who feel aligned with a space centered on the shared experiences of women.
We celebrate individuality and believe everyone deserves to travel in a way that feels safe, seen, and respected. We have a zero tolerance policy when it comes to racism, xenophobia, transphobia, homophobia, or ableism.

Yes, and most of our travelers do! Many women come solo, while others join with a friend, sister, or mom. Either way, you’ll be welcomed into an inspiring group of like-minded women who are just as open to connection and adventure as you are.
When you register, you’ll have the option to choose a private room or a shared room. If you go the shared route, we’ll thoughtfully pair you with another traveler (often also flying solo!) so you can start building those trip-long and often lifelong connections right away.

At The Galavant Society, everything we do is rooted in connection and care, for our travelers, our partners, and our team. Our policies are designed to be as transparent and fair as possible for everyone involved.
When you reserve a spot on one of our Galavants, you're not just claiming space on a trip, you're making a commitment that affects real people and real plans. Many of our partners, hotels, guides, and local collaborators require payment well in advance. Once we’ve secured your spot, we pay them on your behalf, and that money is no longer in our hands.
Additionally, most of our travelers room with someone else. If you cancel, your roommate, who may be a total stranger, is left financially responsible for your portion of the room. That’s not a burden we’re willing to pass along.
Deposits: A 30% non-refundable deposit is due at the time of booking. This secures your place on the trip and allows us to begin making arrangements on your behalf.
Final Payment: The remaining balance is due 90 days before the trip’s start date. If full payment isn’t received by that deadline, we reserve the right to release your spot.
Changes & Cancellations: All payments are non-refundable and non-transferable. We do not offer credits or the ability to move your payments to a future trip.
Each Galavant is a one-of-a-kind experience built in partnership with local teams in each destination. For example, the guides, hotels, and collaborators we work with in Greece are not the same as those in South Africa, so transferring your funds from one trip to another isn’t possible, as those commitments are made independently for each departure.
For that reason, we require all of our travelers to purchase comprehensive travel insurance when they join a Galavant. Please ask us about a policy that includes coverage for cancellation and unexpected events.
We understand that life happens, but due to the nature of small-group travel and the advance commitments we make, we’re unable to offer exceptions. We appreciate your understanding.

Once a new Group Galavant is announced, we open up applications through our newsletter first (a full week before they’re made public). If you see a trip you’re interested in, you’ll fill out a short application to tell us a bit about yourself and your travel style.
We personally review every application and will follow up with a quick call to make sure the energy, expectations, and group vibe feel aligned for you and for the other women joining us. Once approved, you'll receive a link to confirm your spot within 24 hours with a 30% non-refundable deposit.
Your remaining balance will be due 90 days before the trip. We’ll send reminders, packing tips, and everything you need to feel prepared and excited.

Connection is at the heart of everything we do, and that starts before the trip ever begins.
We speak with every traveler before confirming their spot to make sure the experience is a great fit on both sides. It’s not an interview or a test, it’s a chance to get to know you, answer your questions, and ensure you’ll feel comfortable, confident, and excited to join the group.
We’ve found that this simple step helps create the incredible group dynamic our Galavants are known for.

We keep things clear, fair, and written in plain English because transparency is just how we roll.

We close registration 90 days before departure, but most of our Galavants sell out within the first week of launching. If you’ve got your eye on a trip, don’t wait; spots go fast, especially for popular destinations and seasons.
If you see a trip you’re interested in and it’s sold out, it never hurts to reach out. We often run a waiting list & sometimes (not often) have last-minute spots open up.

Yes! All trips require a 30% non-refundable deposit at the time of booking, and the remaining balance is due 90 days before departure.
Need a little more flexibility? We can break your final payment into two smaller installments for a 5% processing fee. Just email us and we’ll get it sorted.

Yes! Just head to the trip page and add your name to the waitlist.
If a spot opens up, we’ll notify everyone on the list at the same time, and the first person to claim the spot gets it. It moves fast, so if you're serious about joining, be ready to book when that email hits your inbox!
If it doesn’t work out this time, don’t worry, we have plenty of future Galavants to look forward to.
Sharing Rooms & Roommates

Yes! When booking your Galavant, you’ll choose between a Shared or Private Room. If you select “Shared,” we’ll thoughtfully pair you with another traveler who’s also flying solo. Sharing a room can be a great way to start building connections before the trip even begins.
If you're traveling with a friend and would like to room together, just let us know; there's a space to list their name on our registration form.

Most shared rooms include two separate twin beds. If the hotel has a limited number of twin setups, they’ll be offered on a first come, first served basis. Once those are filled, you may have the option to share a bed with another traveler only if you're comfortable, and you’ll know all of this well in advance of making your deposit.
If you're a light sleeper, snore, or just value your solo recharge time, a Private Room may be a better fit.

Roommate pairings are made with care and we consider your application responses, sleep habits, communication style, and overall travel vibe to help ensure a comfortable match.
We like to think of ourselves as part travel company, part matchmaker: many Gals who roomed as strangers on their first trip have come back and requested the same roommate for future Galavants. Connection is what we do, and it often starts right in your shared room.

We do our best to thoughtfully match travelers, and most roommates get along great; some even become lifelong friends. That said, we know that sometimes personalities don’t click.
If something’s not working, we encourage open and respectful communication first. Often, a quick chat can go a long way. If the situation truly can’t be resolved, and you're both in agreement, we’ll do our best to secure separate rooms based on the hotel’s availability.
Please note: any room changes will be at your own expense, and pricing will reflect the hotel’s current solo occupancy rate at the time.

Absolutely. Every Galavant offers the option to book a Private Room (subject to availability). These often sell out quickly, so we recommend securing your spot early if privacy is a priority.

Unfortunately, no, our room setups are designed for either one or two travelers. We’re unable to accommodate three people in a single room on any of our trips.

Absolutely! If you’re arriving early or staying longer, we’re happy to help extend the magic. Our Group Galavant Concierge Service is designed for travelers who want a little extra support before or after the group itinerary.
Our extension planning services start at $250, and we’ll handle the logistics and lighten your load.

Note: The $250 fee covers our time and expertise. All trip costs: hotels, transfers, experiences, will be billed separately.

International flights are not included in your Galavant, our travelers join us from all over the world, so we leave flights up to you.
That said, we’ll always provide recommended routes and flight windows based on your departure city and preferences, so you’re never guessing when or where to arrive.
While we can book your flights for you, we strongly recommend booking them on your own. Why? Because when delays, cancellations, or weather issues come up (and they do), airlines make it incredibly difficult for travel advisors to step in. You’ll have more flexibility and control if you’re listed as the primary passenger on the reservation.

The itinerary on our website gives you a very close preview of what to expect, and we stand by it. That said, small changes may occur due to seasonality, local partner availability, or cultural events we might incorporate to make your experience even better.
You’ll receive a detailed itinerary about 8 weeks before departure via email, along with all the information you need to prepare for your Galavant.

Maybe! We don’t share individual flight details for privacy reasons, but you’re welcome to ask in our private Facebook group or WhatsApp chat once the group is live.
If you do link up, we fully expect an airport selfie (tag us, of course ✈️💁♀️).

Around 45 days before departure, we’ll send out our Get to Know the Gals Guide, complete with names, fun facts, and social handles (for those who opt in). It’s your sneak peek at the fabulous women you’ll be traveling with and a chance to connect before wheels up.

About 45 days before your trip, we’ll invite you to join a private Facebook group where you can start connecting with your fellow Galavanters. It’s a great space to coordinate meet ups (if you live in the same city), swap packing tips, or simply say hi before the adventure begins.
Then, two weeks before departure, we’ll kick off a WhatsApp group chat so everyone can stay connected in real time. (Airport selfies are strongly encouraged, don’t forget to tag us!)
On-the-Ground Experience

Always. We build in downtime so you can explore at your own pace, whether that means booking a spa treatment, going for a wander, or taking a well-earned nap.
About 90 days before the trip, you’ll get our Galavant Guide, a curated list of local recs, add-on tours, and dining suggestions so you can customize your free time your way. Want every minute planned? Amazing. Prefer to leave things open? That works too.

Not always and that’s by design.
While some meals are hosted altogether, we also love giving you space to dine how you want. When it’s time to sign up for your add-on activities, you’ll also receive a curated list of small-group dining options for each open evening.
Each restaurant has been personally vetted by us, and you’ll be able to choose which (if any) you’d like to join. We’ll handle the reservations and pair you with other gals who’ve selected the same spot, so you can enjoy a fabulous meal without any of the planning stress.
Prefer to keep your schedule open? Totally fine. Whether you’re craving a quiet solo night or a spontaneous dinner with a new friend, the choice is yours.

No problem at all, many of our travelers choose not to drink, and you’ll always have non-alcoholic options available. While some experiences may highlight local winemakers or mixologists, participation (and sipping!) is entirely up to you.
You’ll have a chance to note your preferences in your Traveler Form before the trip and if you have questions about a specific itinerary, we’re happy to chat.

Generally, yes, but it varies depending on the destination. After you book, you’ll fill out a Traveler Form where you can list any dietary needs or allergies, and we’ll work closely with our partners to accommodate them wherever possible.
That said, some cuisines may not be able to adapt certain dishes without compromising the local culinary traditions. If you have a specific concern or a medically necessary restriction, reach out before booking, and we’ll talk through your options together.

Absolutely. Every Galavant is designed to be flexible, and you’re never required to participate in an activity that doesn’t feel right for you.
If you’re uncomfortable with boat rides or water-based experiences, you’re welcome to sit that part out and enjoy some extra downtime. Just keep in mind that our local partners are compensated based on the full group size, so choosing to opt out won’t affect the cost of your trip.

Many of our trips involve walking on uneven terrain, stairs, or cobblestone streets, especially in historic city centers. That said, if you’re generally comfortable walking and standing for longer periods, you’ll likely be a great fit.
Some destinations are more accessible than others, so we recommend checking the specific trip page for details or reaching out to our team. We’re always happy to chat through your needs and help you determine if a particular Galavant is right for you.
Travel Insurance

Yes, travel insurance is required for all Galavant Society travelers. It’s part of our commitment to keeping you protected and supported while you’re out exploring the world.

Unfortunately, no. Credit card policies typically don’t provide the comprehensive coverage required, especially for medical, evacuation, or trip interruption expenses. For that reason, we do not accept credit card insurance plans as valid coverage.

Yes! We’ll share a trusted insurance provider recommendation that meets all of our requirements and is easy to work with.
That said, you're welcome to use any provider you prefer, as long as the plan includes the required coverage. -
The cost of travel insurance depends on a few key factors:
Your total trip cost (including flights, accommodations, and experiences)
Your age
Length of the tripCoverage levels (basic vs. comprehensive plans)
Any add-ons like “cancel for any reason” or coverage for pre-existing conditions
Most of our travelers spend anywhere from 4–10% of their total trip cost on insurance, depending on the above factors. We’ll recommend a plan that balances strong protection with fair pricing or you can shop around for a policy that fits your comfort level and budget.
In general, “you get what you pay for,” meaning if you purchase the cheapest plan, you should expect it to cover the least.
